If an item is returned damaged, do NOT discharge it from the patron account. If you have time, lookup the pertinent patron information and put it on Return Damaged Form (located in drawer left of Discharge desk). Leave the item on the discharging pending shelve. Stephen or Cheryl will contact the patron etc.

 

Damaged Item Guidelines:

 

If an item is returned damaged and you believe that it is normal wear and tear(or that the patron is not responsible for the damage), discharge the item. Use your best judgment to determine if the item needs to be sent to mending.

 

For an item that needs mending, you will need to check it out to the repair card:

• click on "checkout" and type ALBYREPAIR for the user ID.

• check out each item to the repair card separately, this way each item will have its own receipt

• write a note on the receipt explaining the damage and place the item and note in the appropriate selector’s repair box (labeled adult, YA, and children’s) next to "THE DESK" book return

 

If the item doesn’t need mending but still has normal wear and tear damage, the damage needs to be noted. After discharging, write a note explaining the damage and placed on the Circulation Shift Coordinator’s box. The item will then get the red “DAMAGE NOTED” stamp.

 

If an item is damaged and you believe that it is not normal wear and tear do not discharge the item. Write a note explaining the damage on the Return Damage Form and place on the Shelf marked Pending Damage then the Circulation Shift Coordinator will process and call the patron requesting payment for the damaged item. Follow the Lost/Damaged billing procedures for payments on these items.

 

Normal Wear and Tear vs. Major Damage

 

Fees for damaged materials will be charged when the condition of an item makes it unsuitable to be returned to the collection.

 

Normal wear and tear or minor damage is to be expected as items circulate. This includes (for example):

 

• book falling from spine

• frayed edges

• tears on spine channel

• AV bags or plastic cassette pouch replacement

• CD, DVD, video or cassette case replacement

• Endpapers marked

• Magazine back cover/inserts missing

• Loose contact paper/spines

• Plastic jacket torn/marked/missing

• Missing barcodes/labels

• Paper dust jacket torn/marked

• Pages torn

 

Major damage makes an item unusable by future patrons. This includes (for example):

• Animal chews

• Liquid damage

• Pages stuck together

• Extensive markings/comments

• Pages marked/burned/missing

• Swollen/mildewed/odoriferous
