Closing Procedures

 

  • Flag - make sure the flag is taken down and properly folded. Fold it in half lengthwise twice so that the stars are on the outside, and then, starting at the striped end, fold over once, and then fold in triangles until flag is completely folded. It belongs on the flag shelf . Make sure that the rope for the flag is re-attached to the cleat (metal piece that you loop the rope around). The flag should be taken down early in the event of precipitation or during daylight savings before dark.
  • Checking carrel lights - before closing, check to see that none of the carrel lights have been left on. They are underneath the overhang and are turned on and off with a switch.
  • Wyoming Room - check to see that the lights in the Wyoming room are off. Also check microfilm machines and printers (the switches are in the SE corner of the room within the books).
  • Basement - ride the elevator to the basement and check to see that Paul/Marjorie's office is locked and the lights are out. Make sure the outside stairwell light is on (the switch is inside the boiler room). The master key will work in all of these locks. Make sure that all basement lights are out, and take the elevator back to the ground floor. Then shut off the elevator and lock the doors open by turning off the "light" switch (bottom metal switch inside compartment below the floor buttons).
  • Close windows.
  • Lock reference, bookkeeper's and SMS offices - check to see that the reference, bookkeeper, SMS and children's offices are locked and the lights are off. The master key will work in all of these locks as well. Also check to make sure that the side door in childrens is not propped open and is locked. The master keys can be put in the cash register by pressing the "NS" button.
  • Check the bathrooms - Knock loudly before entering the bathrooms, especially for the opposite sex. Prop the doors open and flush any toilets that need to be flushed. Turn off all of the lights/fans. If there is a meeting going on, do not close down the bathrooms.
  • Close the fire door - This is the garage door that separates the bathrooms and meeting rooms from the rest of the library. The buttons to operate the door are located near the circulation desk. The top button opens the door, and the middle button closes it. Hold the middle button down while watching the door go down. Stop before the door is actually touching the carpet. Leaving a small gap will protect the carpet. If there is a meeting going on, you can still shut the fire door after making sure no library patrons are still in the restrooms.
  • Lock the front doors, turn off lobby lights - lock the doors using the allen wrench key. Push the door open and turn the key so that the handle pops out. Make sure the door closes (the outside exit door has been problematic lately). Make sure not to lock yourself out. Make sure all doors are locked and shut firmly. Then turn off the lobby lights on the wall with the U-shaped key. Both of the keys you need are located in the drawer to the left of the cash register and are attached to a beaded pink and purple lizard.  If there is a meeting going on, leave the lights on.
  • Always make sure to lock the door between the entry way and the meeting room hallway - This is the only door that is a deadbolt. If there is a meeting going on, it should be left unlocked, to prevent the possibility of someone being caught in the meeting room hallway with no way to leave.
  • Unless there is a meeting going on, lock the meeting rooms
  • Seasonal light displays - look around the library for any seasonal light displays (Holiday lights, Halloween decorations, etc) and make sure they are turned off/unplugged.
  • Turn off copier, printers, typewriters, etc - shut down the copier by pressing the button on the left hand side. Then follow the on-screen directions to complete shut down. Make sure the typewriter (in the back by the one-hour patron computers)is turned off.
  • Close down cash register - turn the key to X1/Z1 and press the "end day Z1" button on the right-hand side. A receipt should start printing out. Neatly fold the receipt and place it in the cash drawer. Make sure the master key is also in the cash drawer, and place the entire cash drawer in the safe. Shut and lock the safe, and make sure that the dial is left at "0". Turn the key on the cash register to "off". You do not need to close the drawer.
  • Turn off desk computers - after checking that no one needs to use the computers, exit out of all programs and shut the computers down. To do this, START --> SHUT DOWN --> SHUT DOWN.
  • Turn off all remaining lights in library - after doing a walk around to make sure no one is still in the library, turn off all the lights.
  • Check the break room - make sure the coffee pot is unplugged and that any perishable food is properly put away. Straighten up the materials on the table if necessary.
  • Lock back doors - most of the circulation staff have a key to the inside back door; if not available, one of the master keys will lock it. Make sure all lights inside library are off, and that hall and outside lights are on. Make sure both the inside and outside back doors are locked.
  • Check for unattended children - make sure there are no children waiting in the lobby. If there are, make sure they have rides. If they are under the age of 13, they cannot be left here alone. In the event that they are under 13, attempt to contact their parents. If you cannot reach their parents, call the Laramie Police, who will escort them to the Youth Crisis Center (742-5936). You must remain with the child until the police come, and you must notify Susan so that she can contact the parents to discuss the situation.   • Turn off fans - make sure no fans are left on. A couple of them turn off with the lights, but the rest are operated by remote, and the remotes are inside the door of the cabinet that contains printer paper. They are marked according to the location of the corresponding fan.

 

Additional considerations:

-flash the blue dot lights 15 minutes before closing, turn them off 5 minutes before closing.

-when checking the carrel lights and closing down the Wyoming room, it is a good time to let people know we'll be closing soon.

-check each station at desk to refill cards - keychain/wallet, applications, and paper rolls

-also check printer and copier to refill paper if needed
