Circ Desk Schedule Procedures

  • Do the Circ Schedule for the next week by the end of the Tuesday
  • Look at the main CircDeskSchedule page for the "template".  This is the regular schedule for if there are no changes (vacations, sick etc.)
  • Look at the CircStaffTimeOff page and make sure you make changes for the people off and to cover for them
  • Create a new page for this particular week's schedule, link to it under "variant schedules" from the CircDeskSchedule page.  The form for the page name is CircDeskSchedulemmddyy, with the date being the FIRST day of the week being covered.. For example CircDeskSchedule051709 for Week of May 17-23.
  • Send out an email to staff with the schedule, and make note of anything you did that was different than the "template" or anything else people should be aware of.  Example:

RE: Circ Desk Schedule for next week (May 17-23)

Hi Circ Folk,

Next week's desk schedule is here:

http://albystaff.pbworks.com/CircDeskSchedule051709

Please let me know any questions or corrections.

Please note I've made some adjustments to bring things into balance

with Hollis returning and to try to cover for "hamster dances" etc.

Please have a careful look and let me know any problems or mistakes

you see.

Thanks!

  • Print the schedule and put it up at the Circ desk.
  • Maintain the CircStaffTimeOff page, adding time off as it is approved, and making changes if people's plans change.
  • Maintain the "template" on the CircDeskSchedule page, working with staff to keep it functional as availabilities change (school schedules etc.).
  • Things to watch out for:
    • Make sure we are adequately covered.  We should ALWAYS have 2 people on the desk, and 3 almost always.
      • Saturday is an especially busy time.  Tuesday is busier usually than Wednesday or particularly Thursday.
    • Encourage staff to give you corrections and suggestions.  It can be very complicated, so mistakes are easy if we aren't watching out.
